Definition of Personal Information

Personal information is information about an identifiable individual, but does not include the name, or business contact information of an employee of an organization.

Our Responsibilities

Grande Prairie Mitsubishi and the AutoCanada group of dealerships are responsible for protecting the personal information of its existing customers and prospects that is in our custody or under our control, including personal information that has been transferred to, or received from a third party.

Collection, Use, and Disclosure of Personal Information

We collect personal information from customers in order to serve them better. Certain personal information better helps us understand their automotive needs, allows us to communicate effectively with them, and provide our customers with the services and products they want.

We collect, use and disclose personal information to:

  • Verify identity;
  • Determine eligibility for financing;
  • Detect and prevent fraud;
  • Compile statistics and report to regulatory agencies;
  • Comply with the law; or
  • Comply with tax requirements

How We Gather Personal Information

The collection, use and disclosure of personal information depends on how a customer does business with us. We may gather information from the following sources:

  • From the customer on information filled out over the telephone, e-mail or through face-to-face meetings
  • From the customer on the purchase of a new or used vehicle from a salesperson’s customer information sheet;
  • From the customer on the new or used vehicle purchase deal sheet
  • From the customer on the trade-in information document
  • From the customer on the Purchase & Sale Agreement
  • From the customer on the application of insurance
  • From the customer on the purchase of a warranty
  • From the customer on the purchase of after-market products
  • From the customer through servicing documents and general invoices
  • From the customer through our call center communication

The Commitment We Make To Customers When They Share Personal Information With Us

When a customer or prospect provides information to us through any of the previously mentioned sources, they do so with the understanding that their personal information may be used or disclosed for the Identified Purposes amongst us, the previously mentioned sources, or third parties, and that the AutoCanada group of dealerships may verify such information or obtain additional personal information about the customer in question by checking with government agencies, credit bureaus, motor vehicle agencies and other fact collecting and verifying entities to assist us in the Identified Purposes.

Customer Consent

A customer’s knowledge and consent is required before we may collect, use or disclose their personal information.

The exception to this is where a customer’s consent is deemed by law or not required by law. These situations may include an investigation by the police where personal information is publicly available or in situations where otherwise permitted by law.

In cases where we collect personal information that is sensitive, such as financial information, we will obtain additional written or oral consent from the customer before collecting, using or disclosing such information.

When we collect personal information from third parties from which the customer has provided us their consent, we will ensure the third party is notified of the customers consent to our collection of their personal information.

Obtaining Customer Consent on Existing Personal Information

Customer consent for our use of existing personal information is acceptable by:

The customer receiving a copy of our Personal Information Policy, unless they advise us, either verbally or in writing, that they do not agree with the terms stated in our Policy, and that they wish to opt out of all or portions of it.

  • Asking for the customer’s consent to keep the information obtained

Fixed Operations Department (Service / Body Shop)

  • Asking for the customer’s consent to keep the information obtained

The Length of Time We Maintain Personal Information

New & Used Vehicle Customers

  • Personal information that will be retained will be customer name, home address, and home telephone number
  • All financial information acquired as it relates to the financing or lease of a vehicle (personal financial statement and credit bureau’s) will be retained as long as those financing or lease arrangements are in place

Service & Body Shop Customers

  • For servicing performance, all records relating to the vehicle servicing will be maintained as long as the customer is the owner of the vehicle (to the best of our knowledge)
  • We will retain service and repair records for as long is reasonably necessary to address any issues arising from the service or repair of the vehicle

If there are legal requirements relating to the period of time which we must retain personal information, we will comply with those requirements

Protection of Personal Information

All electronic and paper based information will be maintained under strict security systems to safeguard all personal information that is in the custody or in the control of the dealership from:

  • Unauthorized access
  • Collection
  • Use
  • Disclosure
  • Copying
  • Modification
  • Disposal

Personal information that is no longer required will be destroyed under clearly established criteria.

All third parties that obtain personal information from our dealership (financing requests, insurance applications) are contractually required to protect our customers’ confidentiality in a manner consistent with our own internal policies, or as required by law.

Customer’s Right To Access Their Personal Information

All customers have the right to access their personal information that we maintain in our custody or under our control.

All customers have a right to know which third parties have received their personal information from our dealership, and under what circumstances.

How a Customer Accesses Their Personal Information

Any customer requesting access to their personal information must make a request in writing to the dealership’s Privacy Officer, stating the specific personal information they are requesting.
